Healthcare Coordinator FAQs
Answers for facility coordinators overseeing rotations, site requirements, and user access.

The Reports view only displays records six weeks before a
scheduled start date. Students drop off automatically two weeks
after their end date. They also must be marked
Verification Complete by their education coordinator or
CPNW DVS team before you can see them. If a student still
doesn’t appear, confirm their assignment dates and verification
status.
Those columns summarize requirement completion. A “+” icon means
every requirement in that category (CPNW Clinical Passport,
Education, or Healthcare) is complete. A “–” icon signals that
at least one requirement still needs attention. Click the icon
to open the status popup and review each requirement line by
line.
Healthcare coordinators have view-only access to the CPNW
Clinical Passport list. You can open documents, read reviewer
comments, and reference approved records, but only education
coordinators or CPNW DVS staff can change those statuses. You
can approve, reject, or waive your own site-specific
requirements from the same modal.
Open Requirements from your Dashboard and click
Create Requirement. Complete the form field by field:
name, facility (Required By), category (Site Orientation or
Forms), frequency, discipline, user type, abbreviation, status,
due date, and requirement instructions. Site Orientations can be
auto-approved, while Forms can offer waiver options. Attach any
reference files and use the link icon to point students to
external resources.
The Active Users tab only contains healthcare coordinators tied
to your facility. Account Requests lists new healthcare staff
who completed registration—open each request to approve or
decline it. Deactivated accounts live in the Inactive Users tab,
so you can reactivate them later without recreating access.
